Send A Fax

by Matt Gerchow
Sending a fax today is not a complicated matter. Business companies all
over the world send and receive faxes with relative ease. Private
individuals can also benefit from this service by becoming acquainted
with the different ways faxes can be sent. There are three methods an
individual can employ to send and receive faxes. These are: using a
fax machine, using a computer that has the proper software and built-in
fax modem capabilities, and using an online fax service such as RingCentral or eFax.
Fax Machines
The procedure for sending faxes will vary depending on which type fax service you employ. Sending a fax by a fax machine is a very elementary procedure, which most anyone can master. The basic steps in order are: place your document face down in the loading zone of the machine and check to make sure it is accepted, dial the number of the location where you want the fax to go and then press send. Consequently, your phone will first register a dial tone, then a sequence of beeping noises and finally a flat line tone from the receiving end of your fax that means it is ready to be received. Most fax machines are automatically set to receive faxes; therefore, your fax should begin to go immediately.
Computer Faxes
If your computer contains a built-in modem, you can utilize your unit to send a fax by using the following procedure. First, make sure your document is prepared and ready to go; if you will be sending a cover sheet; make sure this is ready as well. Second, plug your phone line into the computer and open the computer software you will use to send the fax. There are a number of computer software programs available on the market designed for sending faxes, such as Microsoft fax or Microsoft exchange. The program you choose to install into your computer depends on your personal preference; compatibility with your computer and what best suits your purpose. Once your fax software is opened, an icon will appear giving you permission to send the fax. Click on it. From here the fax program will prompt you with instructions on what information to enter into the computer. When you have completed filling the instructions, the program will ask you to attach your document file and will again give instructions for doing so. The last step is to press send and your computer will do the rest to ensure your fax is sent.
Online Fax Services
Using an online fax service is by far the easiest, most painless method of sending a fax. The simple 1, 2, 3 steps involved are: contract an online faxing company such as RingCentral or eFax; make ready the files you want to send (your files can be sent as word files, PDF files, spreadsheets, or any other office file format without complications or problems); open your email server, type in the number you are faxing along with the extension of the online service company you are using, attach your files and send. RingCentral is one of the more popular fax services with affordable prices and special features such as having no set up fees, a 30-day free trial, service for multiple users and more. Efax also offers convenient, affordable services with confidentiality assured for sensitive correspondence.
